Privacy Policy

Hoop33 Limited (“Hoop33”, “we”, “us”, “our”), Auckland, New Zealand (NZBN 9429047893467), is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, how we use and protect it, and your rights under the New Zealand Privacy Act 2020. It applies to our websites, our facilities and coaching programs, our camps and USA tours, our online store, and everyone we deal with — members, clients, parents and guardians, event and tour participants, and website visitors.
1. What information we collect
Depending on how you interact with us, we may collect:
- Contact and identity details — name, date of birth, email, phone, address.
- Membership and program details — the programs, classes, camps, events or memberships you or your child take part in, attendance and progress notes.
- Health and emergency information — medical conditions, allergies, medications, dietary requirements and emergency contacts, where relevant to safely running a session, camp or tour.
- USA tour documents — for participants travelling on our overseas tours, scans of the participant’s passport and visa, provided by the parent or guardian.
- Payment information — we take payments through a secure payment provider (Stripe); we do not store your full card number.
- Photos and video — we may capture images or footage at sessions, camps and events for coaching and marketing, where permitted.
- Website and device information — pages visited, device and browser information, and cookie/analytics data when you use our websites.
2. How we collect it
We collect information directly from you — when you enquire, book, register, sign up for a membership, complete a form in our family portal, or make a purchase — and automatically through cookies and analytics when you use our websites. Where you provide information about another person (for example, a parent providing their child’s details), we rely on you having the authority to do so.
3. Why we use it
We use your information to:
- run and manage your memberships, coaching, classes, camps, events and tours;
- keep participants safe (medical/emergency information, and travel documents for tours);
- process payments, issue invoices and keep proper business records;
- communicate with you — confirmations, updates, and service messages;
- with your consent where required, send you marketing about our programs and offers; and
- operate, secure and improve our websites and services.
4. Children’s and young people’s information
Much of our work is with children and young people. We take particular care with their information:
- Registration and uploads for under-18s are carried out by a parent or guardian, who controls the account — the child never does this themselves.
- We collect only what is necessary to run the program safely (for USA tours, that includes passport and visa scans required for overseas travel).
- A child’s information is accessible only to Hoop33 staff involved in delivering that program, and each family can only see their own child’s records.
- Passport and visa scans are deleted approximately one month after the tour returns.
5. Who we share it with
We do not sell your personal information. We share it only where needed to run our services, with trusted providers who act on our instructions, including:
- Stripe — secure payment processing;
- GymMaster — membership and booking management;
- Xero — invoicing and accounting;
- Resend / Google Workspace — sending email and running our business email and documents;
- Cloudflare — website hosting, data storage and security; and
- advertising and analytics partners (for example, Meta and website analytics tools) via cookies/pixels on our websites, where permitted.
We may also disclose information where required by law, or to protect the safety of participants and staff.
6. Cookies, analytics and advertising
Our websites use cookies and similar technologies to make the site work, understand how it’s used, and (where you allow it) measure and improve our advertising. You can control cookies through your browser settings; some features may not work fully if cookies are disabled.
7. Where your information is stored
We use reputable service providers (such as Cloudflare, Google and Stripe) to host and process information. This means some of your information may be stored or processed on servers outside New Zealand. Where information is held or handled overseas, we take reasonable steps to ensure it is protected by comparable safeguards to those required under the New Zealand Privacy Act 2020.
8. How long we keep it
We keep personal information only for as long as we need it for the purposes above or as required by law. Travel documents (passports/visas) are deleted about a month after a tour returns. Other records, such as financial records, are kept for the periods required for business and tax purposes.
9. How we keep it safe
We protect your information with access controls (staff-only access on a need-to-know basis), encryption in transit, private storage for sensitive documents, and access logging. No system is perfectly secure, but we take reasonable steps to protect against loss, misuse and unauthorised access, and we have a process for responding to any privacy breach.
10. Your rights
Under the Privacy Act 2020 you have the right to:
- ask what personal information we hold about you or your child, and get a copy; and
- ask us to correct information that is wrong.
To make a request, contact us using the details below. If you’re not satisfied with how we’ve handled your information or your request, you can raise it with us, and you also have the right to complain to the Office of the Privacy Commissioner (privacy.org.nz).
11. Changes to this policy
We may update this policy from time to time. The current version will always be available on our website, with the “last updated” date shown above.
